AI data mapping for rent rolls

Pereview empowers you to create time-saving data mapping templates for new rent roll file types. Now rather than attempting to manually convert unsupported file types, leverage Pereview’s AI data mapping tool to quickly create and save your new mapping that will be automatically applied the next time a rent roll is loaded from that source system.

Before you get started, please note the following do’s and don’ts to help ensure success.

Do:

  • Upload an Excel file with a single month’s rent roll.
  • Choose “New Rent Roll Template” from the template selection drop-down.

      Don't:

            • Add linked workbooks.
            • Upload an Excel file with multiple sheets.
            • Add the same file more than once.
            • Add files with nested rows or tables.

            AI Data Mapping Walkthrough

            Step 1: Data Upload

            Go to Admin > Data Upload

            Begin by dragging the selected file into the Import With AI upload box. A check mark will appear once the file is ready to be mapped.

            Note: If it does not automatically appear, select “New Rent Roll Template” from the drop-down box.

            By selecting “New Rent Roll Template,” you are telling Pereview that this is a new file type that you would like to map through the data mapping wizard. When you are ready to proceed in creating the mapping for the file, click save and continue.

            Step 2: Selection

            Pereview will now walk you through a guided wizard to assist in mapping the file beginning on the Selection page. On this page, you will see all of the rows from your spreadsheet. The table range is already selected based on the AI’s suggestion and usually will not need to be changed. Scroll to the bottom of the section to confirm that all rows are present.

            In this example, the values show “48 rows, 48 selected.”

            If the highlighted start or end is wrong, click the correct first row, then the last row to reset the range. Click save and continue.

            Step 3: Mapping

            The mapping page gives you the opportunity to review Pereview’s suggested mappings and make any necessary changes, so your file’s data is correctly mapped in Pereview.  Specifically, the mappings page is divided into three columns as seen below.

            The Source column shows the name of the data from your Excel file. The Pereview column shows the name for that information in Pereview. The Example column shows the corresponding cell from your Excel file.  Pereview will suggest a mapping for each source field. To change the suggested mapping or exclude a source field, click the drop-down in the Pereview column. For advanced conversion options, click the gear icon. Now, save and continue. 

            Note: To avoid accidentally mapping the same field to multiple rows, a red outline and a warning message will appear around the fields that need to be updated.

            Step 4: Grouping

            This section will only appear when groups are identified in your file. Here, you can click a column header to choose the column that identifies each group, then flag the row where each group begins. A group runs until the next flagged row. Collapse groups to review the overall structure, or expand one to see its rows. Click save and continue.

            Step 5: Exclusions

            On the exclusions page of the wizard, you can select any rows you do not want to import by checking the box next to each row. Total and empty rows should be excluded. Click save and continue.

            Step 6: Submit

            After you complete this process, you will be prompted to name the mapping. Pereview displays the file name in this format: Pereview AI for Rent Roll: [Saved Mapping Name]. Replace the bracketed text with the source system name, such as “[Yardi Breeze].” The next time you upload this file, Pereview will recognize your saved mapping and suggest that you use it to apply your configuration automatically. Click save and continue.

            Step 7: Queuing and Loading Data

            Once AI identifies the file and organizes the data, it is queued for upload. When the Status column shows “Committed,” the data has passed the initial validation checks and has been successfully loaded into Pereview for reporting and analysis.

            The next time you upload this file type, the saved mapping will be applied automatically, saving you time while helping ensure consistency and accuracy.
